What VVOXA did

  1. Ringing
  2. JamieClearline Pool Service, this is Jamie. How can I help?
  3. CallerHi. My pool's gone green and we've got family coming next weekend. Can somebody come clean it up?
  4. JamieWe do green-pool cleanups. Is the pool screened in, and roughly how big is it?
  5. CallerIt's screened. Normal size, maybe fifteen by thirty. What's that going to run me?
  6. JamieI can't give you a price on a green pool over the phone, because it depends on how far gone it is. Someone can come take a look and give you a number. I have Thursday at 9 in the morning or Friday at 1. Which works?
  7. CallerThursday at 9.
  8. JamieThursday at 9. Can I get your name and the address?
  9. CallerRob Keller. It's •• Heron Court.
  10. JamieThanks, Rob. Is this the best number to reach you?
  11. CallerYep. Oh, and do you do weekly service too?
  12. JamieWe do. I'll note that you're interested, and they can go over it with you on Thursday. You're booked for a green-pool look on Thursday at 9 AM.

A sample call, written out to show how VVOXA handles it. The business and the caller are made up for this page, and phone and house numbers are hidden.

Who answers when the person who answers is on a job?

In a crew of three to fifteen people, the business phone usually belongs to the owner, or to the one office person who also runs estimates. So it rings while they're on a ladder, in an attic, behind a hedge or driving between jobs. Some callers leave a voicemail. Some just ring the next company on the list.

VVOXA picks up instead, on the first ring, day or night, so you can catch up between jobs. It answers only from what you've told it, and it never claims to be a person.

Plumbing or AC company? Those trades have their own page, with the leaks and no-cool calls they get: VVOXA for plumbing and AC companies.

What it asks callers, trade by trade

A message is only as good as the questions behind it. These are starting points; on the setup call you decide exactly what it asks for your work.

  • Pool service

The address, whether the pool is screened, roughly how big it is, and whether it's green or cloudy right now. For weekly service, which day suits and whether there's a spa. A pump that won't run or a heater showing an error code becomes a message for your tech; it doesn't troubleshoot equipment.

  • Lawn care and landscaping

The address, roughly how big the lot is, how often they want it cut, and whether it's mowing only or beds, hedges and trimming too. New sod, new plants or a redesign get an estimate visit, not a guess.

  • Pest control

Which pest, inside or outside, how long it's been going on, and whether they want a one-time treatment or a regular plan. You decide whether something like termites swarming indoors counts as urgent.

  • House cleaning

How many bedrooms and bathrooms, whether it's a regular clean, a deep clean or a move-out, any pets, and when they'd like to start. If you price by the size of the home, it can give that price; anything else it takes down for a quote.

  • Roofing

Is it leaking right now, and where? The roof type (shingle, tile or metal), roughly how old it is, and whether there's an insurance claim. A leak happening now can come straight to you; a new-roof quote becomes an inspection booking.

  • Electrical

What's going on: part of the house without power, a breaker that keeps tripping, a new fan or outlet, a panel upgrade. If someone is in danger, it tells them to call 911 before anything else.

  • Garage doors

Stuck open or stuck shut, a car trapped inside, a snapped spring or cable, and the make of the opener. A door stuck open at night or a car trapped inside can come straight to you if you choose.

  • Handyman and pressure washing

What the job is and how big: the driveway, the house, the roof, the pool deck, or a list of small fixes. A list of small jobs becomes one estimate visit instead of six phone calls.

It books estimate visits and leaves the pricing to you

Most home service work can't be priced over the phone. A number given too early is a number you end up honoring or arguing about.

  • Books the visit. When booking is switched on, it offers open times in your VVOXA calendar, with Google Calendar kept in sync, so it never offers a time you're already busy there. You set how long an estimate visit takes and which days you do them.
  • Or flags it for you. With booking off, it takes the request and the times that suit the caller, and marks it for you to confirm.
  • Gives the prices you choose. A trip charge, an inspection fee, a flat monthly pool rate, a price for a standard mow. Only what you've told it.
  • Tells callers which towns you cover. Give it your list and it can tell a caller whether their town is on it.

What it won't quote or decide

  • A price for a job that needs a look. No roof, landscaping, repair or cleanup prices it hasn't been given. It says someone will give them a number and books the visit.
  • What's wrong. It won't guess at a pump, an opener, a panel or a roof.
  • An arrival time. It won't promise the crew will be there within the hour.
  • Whether a street is in your area. It can't check an address against a map, so it writes the address down for you.
  • A deposit. It can explain your deposit or cancellation policy, but it doesn't take payments.

Urgent calls come to you, by your rules

You decide what counts as urgent for your work, and the number those calls go to. A roofer might choose a leak happening now. A garage door company might choose a car trapped inside. A cleaning company might choose a commercial client whose crew didn't show up.

  • Put through. It puts the call through to the number you give. If you don't pick up, the caller can leave a voicemail.
  • Marked in your account. Urgent messages are marked in your calls list, with the summary, the transcript and the recording.
  • An alert, if you want one. Turn on notifications in the VVOXA app for new bookings, messages and voicemails. It doesn't text or email you about each call.

It isn't an emergency line. If a caller smells gas, it tells them to get out and call 911 or the gas company from outside. If someone is in danger, it tells them to call 911. It can't send help, so keep your own way for urgent callers to reach a person (Terms, section 6.3).

Scheduling software, honestly

VVOXA doesn't connect to Jobber, Housecall Pro, ServiceTitan or other field-service software. If your jobs live in one of those, the booking lands in the VVOXA calendar and in Google Calendar, and someone on your team copies it across. Better to know that before you pay the setup fee.

Here's what it does work with. Each one stays off until you switch it on.

  • Google Calendar. Built in. Bookings show up there, and it won't offer a time you're busy.
  • Cal.com. Reads your busy times and puts bookings in.
  • GoHighLevel. Adds callers as contacts and keeps the calendar in step.
  • HubSpot (beta). Adds callers as contacts and logs the calls.
  • A web address of your own. Sends each call to Zapier, Make or n8n, if you'd like to build something on top.

The same price in your busy season

Lawn and pest calls pick up when the weather warms, pool calls arrive with the first hot weekend, and roofers hear from everyone at once after a big storm. The phone rings most in the weeks you have the least time to answer it.

$500 a month covers every call it answers, with no per-minute or per-call charge, so your busiest week costs the same as your slowest. The details are on our pricing page.

What to have ready for the setup call

Setup is a phone call with Matt, our founder. These answers make it quick. Print the list or copy it into a note.

  1. The services you do, and the ones you don't.Weekly pool service and green-pool cleanups, say, but no resurfacing. Homes only, or businesses too.
  2. The towns you cover. The list it reads from when a caller asks whether you come out to them.
  3. What to ask for each kind of job.Start from the list above and cross out what you don't need.
  4. The prices you're happy to give on the phone.A trip charge, an inspection fee, flat rates. Everything else gets an estimate visit.
  5. Estimate visits. How long one takes, which days and hours you do them, and whether it should book them or flag them for you to confirm.
  6. What counts as urgent, and where it goes. The calls that should come straight through, and the number to put them through to.
  7. Your regular customers. What it should do when one calls to skip a week, change their day or add a job. It recognizes repeat callers by phone number.
  8. License and insurance.Tell us exactly what it may say. It never claims a license, registration or insurance you haven't given it.
  9. Who on the crew needs to see calls.Up to 10 people can share your account, each with their own sign-in.

From your answers we write its greeting and what it knows, and you approve the greeting before it answers a single customer. The rest of the process is on how it works.

Questions home service owners ask

What is an AI answering service for contractors?

Software that answers your business phone when you can't. VVOXA picks up on the first ring with your greeting, asks what your trade needs to know, books an estimate visit or takes a message, puts urgent calls through to you, and writes every call up in your account. It never claims to be a person.

Can it book jobs automatically?

It books estimate visits and appointments into open times in your VVOXA calendar when booking is switched on, with Google Calendar kept in sync. With booking off, it takes the request and the times that suit, and flags it for you to confirm. Pricing the job stays with you.

Does it work with Jobber or Housecall Pro?

No. VVOXA doesn't connect to Jobber, Housecall Pro or ServiceTitan. It books into its own calendar and Google Calendar, works with Cal.com, GoHighLevel and HubSpot (in beta), and can send each call to Zapier, Make or n8n through a web address of your own.

Can I keep my number?

Yes. You keep the number on your trucks, yard signs and listings, and turn on call forwarding. Turn forwarding off and your phone rings like before. Some phone companies charge for forwarding or restrict it, so check your plan.

What if a customer wants a real person?

If you've said it should, it puts the call through to you. If you don't pick up, the caller can leave a voicemail. Otherwise it takes a message with what they need and how soon, and marks it for a call back. You choose whether it says it's automated at the start of every call or only when someone asks.

Can I change what it says when my services change?

Yes. From your account you can change the greeting, hours, prices and what it asks callers, and a change is used from the next call. Add a service in spring, drop one in winter. Or send us a message and we'll change it for you.

We're a two-truck outfit. Is it worth $500 a month?

That depends on what one job is worth to you and how many calls go to voicemail now. Every call shows up in your account, so you can see what it's catching. Your first 30 days are free, counted from checkout, but the $1,000 setup isn't refundable, so have it call you first and judge it yourself.

What does it cost?

$1,000 once for setup, then $500 a month after a free first month. There's no per-minute or per-call charge, so your busiest season costs the same as your slowest; the details are on our pricing page.
